Introduction to Teams

Create a TodoTicked team, invite people, share projects, assign work, and manage team access and billing.

Teams give a group one workspace for shared projects and the work inside them. Use a team when several people need to assign tasks, follow progress, and discuss the same work without moving context between tools.

You can use teams in the TodoTicked web app and supported TodoTicked apps. Some administrative actions, including billing and seat changes, are easiest to manage in the web app.

What you can do in a team

With a TodoTicked team, you can:

  • Keep shared projects separate from personal work
  • Assign tasks to team members
  • Add comments where the work happens
  • Follow team activity and progress
  • Invite people as admins, members, or guests
  • Adjust paid seats as the team grows or changes

Create a team

  1. Open Teams from the main navigation.
  2. Select Create Team.
  3. Enter a team name and an optional description.
  4. Choose the number of seats. The creator uses one seat.
  5. Choose monthly or annual billing.
  6. Select Create Team.
  7. Invite teammates, then continue to checkout if you selected a paid plan.

A free team supports up to 3 members and 5 projects. The self-serve paid Team plan supports 2–500 seats and unlimited team projects.

Tip: Start with one active project and a small group. Add more projects after the team agrees on names, priorities, and when to use comments.

Invite people

You can invite someone from the team workspace:

  1. Open Teams, then select the team.
  2. Open the team members area.
  3. Select Invite Member.
  4. Enter the person's email address.
  5. Choose Admin, Member, or Guest.
  6. Send the invitation.

The recipient receives an email with a secure invitation link. If they already have a TodoTicked account, they can sign in and accept it. New users can create an account before joining.

Choose the right role

The person who creates a team is its owner. The owner controls the team and its billing. A designated billing admin can also manage the subscription so billing does not depend on one person.

Only give admin access to people who need to manage the workspace or its members.

Organize shared work

Create projects inside the team workspace for work that needs shared visibility. In a team project, members can create and update tasks, assign an owner, set due dates and priorities, and discuss the task in comments.

A simple starting structure is:

  • One project for current work
  • One project for recurring operations
  • One project for ideas or work that is not ready

Keep personal tasks in personal projects when the rest of the team does not need to see or act on them.

Work together on tasks

For each shared task:

  1. Write a title that describes the expected result.
  2. Assign one owner so responsibility is clear.
  3. Add a due date only when there is a real deadline.
  4. Put decisions, questions, and handoff notes in the task comments.
  5. Complete the task when the expected result is delivered.

Depending on each person's notification preferences, TodoTicked can notify collaborators about shared-project activity such as task creation, edits, completion, and comments.

Manage members and roles

Admins can review the current member list and pending invitations. The current Members screen also supports designating billing administrators.

Changing an existing team role or removing a team member currently requires assistance from TodoTicked support. Review the person's assigned work and billing responsibility, then contact TodoTicked support.

Manage seats and billing

Open the team and select Billing to view the current plan and seat allocation. Owners and authorized billing admins can use the seat controls to preview and save a higher or lower seat count.

  • Monthly Team billing is $5 per seat per month.
  • Annual Team billing is $42 per seat per year, equal to $3.50 per seat per month.
  • Reducing seats requires enough unused seats for the new limit.
  • Billing changes are handled through the team's billing controls and payment provider.

Warning: Removing a person and reducing the paid seat count are separate actions. Review both the member list and the Billing tab when someone leaves.

Team workflow best practices

Use comments for task-specific decisions

Keep the discussion with the task instead of starting a separate conversation that other collaborators cannot find later.

Assign one accountable owner

Several people can contribute, but one assignee makes the next action clear.

Review activity, not every task

Use the team activity view to catch up on changes. Open individual tasks only when you need the details.

Keep roles narrow

Most people should be members. Use guest access only after verifying what the account can see, and reserve admin access for trusted people responsible for the workspace.
