Smart Filters

Filters let you create custom views of your tasks based on any criteria you choose.

What are Filters?

Filters are saved searches that show tasks matching specific criteria:

  • Due date ranges
  • Priority levels
  • Tags and projects
  • Assigned users
  • And much more

Quick Filters

Built-in Filters

TodoTicked includes common filters:

  • Today - Tasks due today
  • Upcoming - Tasks with future due dates
  • Overdue - Past due tasks
  • High Priority - P1 and P2 tasks
  • No Due Date - Tasks without dates
  • Recently Added - New tasks

Access these from the sidebar or filter menu.

Temporary Filters

Apply filters without saving:

  1. Open any task list
  2. Click the filter icon
  3. Select criteria
  4. View results
  5. Clear when done

Creating Custom Filters

From the Filter Menu

  1. Click Filters in sidebar
  2. Click + New Filter
  3. Name your filter
  4. Add conditions
  5. Save

Filter Conditions

Choose from:

ConditionOptions
Due dateToday, Tomorrow, This week, Custom range
PriorityP1, P2, P3, No priority
ProjectAny project or specific ones
TagsInclude or exclude tags
StatusActive, Completed, Overdue
CreatedDate range
Assigned toSpecific team members

Combining Conditions

Use AND / OR logic:

AND (all must match):

Priority is P1
AND Due date is Today

→ Shows urgent tasks due today

OR (any can match):

Tag is #waiting
OR Tag is #blocked

→ Shows all blocked/waiting tasks

Filter Examples

"This Week's Focus"

Due date: This week
Priority: P1 or P2
Status: Not completed

"Quick Wins"

Tag: #quick
OR Duration: Less than 15 minutes
Status: Not completed

"Waiting For"

Tag: #waiting
Status: Not completed

"Assigned to Me"

Assigned to: Me
Status: Not completed

"Overdue Important"

Due date: Overdue
Priority: P1 or P2

"Created This Week"

Created: Last 7 days
Status: Not completed

Managing Filters

Edit Filters

  1. Right-click the filter
  2. Select Edit
  3. Modify conditions
  4. Save changes

Reorder Filters

Drag filters in the sidebar to reorder them.

Favorite Filters

Pin important filters:

  1. Right-click filter
  2. Select Add to favorites
  3. Appears at top of sidebar

Delete Filters

  1. Right-click filter
  2. Select Delete
  3. Confirm deletion

Filter Views

Default View

Filters show tasks in a list. Customize the view:

  • Sort by: Due date, Priority, Created date, Alphabetical
  • Group by: Project, Priority, Due date
  • Show completed: Toggle to include/exclude

Saving View Settings

Each filter remembers its view settings:

  1. Configure the view how you like
  2. Settings save automatically
  3. View restores when you return

Advanced Filtering

Date Ranges

Flexible date options:

  • today - Due today
  • tomorrow - Due tomorrow
  • this week - Due this week
  • next 7 days - Next 7 days
  • this month - Due this month
  • no date - No due date set
  • Custom date range

Text Search

Filter by text content:

Title contains: "meeting"
Description contains: "quarterly"

Multiple Projects

Include or exclude projects:

Project is: Work OR Personal
Project is not: Archive

Nested Conditions

Create complex filters:

(Priority is P1 OR Tag is #urgent)
AND Due date is This week
AND Status is Not completed

Using Filters Effectively

Daily Review

Create a "Daily Review" filter:

  • Shows all tasks needing attention
  • Include overdue, today, and high priority

Weekly Planning

Filter for planning:

  • Tasks due this week
  • Group by day
  • Identify gaps and overloads

Project Focus

When working on a specific project:

  • Filter to that project
  • Add due date filter
  • Focus without distractions

Context Switching

Create filters for different contexts:

  • At computer
  • On phone
  • At office
  • At home

Filter Sharing

With Team

Share filters with your team:

  1. Create or edit a filter
  2. Enable Share with team
  3. Team members see the filter

Export Filter

Save filter configuration:

  1. Right-click filter
  2. Select Export
  3. Download JSON file
  4. Share or backup

Import Filter

Use shared filters:

  1. Go to Filters
  2. Click Import
  3. Upload JSON file
  4. Filter is added

Troubleshooting

Filter Shows No Results

Check that:

  • Conditions aren't too restrictive
  • Tasks matching criteria exist
  • You're not excluding everything

Wrong Results

Review your conditions:

  • AND vs OR logic
  • Correct date ranges
  • Tag spelling

Filter Won't Save

Ensure:

  • Filter has a name
  • At least one condition is set
  • You clicked Save
